ABOUT YOU You are an experienced Executive Assistant who enjoys working closely with C-level executives and senior management. You are hyper-organized with your systems and processes, proactive and resourceful in getting things done, work well independently as well as collaboratively, and possess high-level critical thinking skills. You are an excellent communicator and comfortable engaging with internal and external stakeholders at all levels. You bring energy and a can-do attitude to the executive team every day.

THE ROLE | HR&A seeks a full-time Executive Assistant to support the President and another senior leader in the New York office. You will be the gatekeeper to the senior leaders, providing high-level calendar management and administrative support, project support, and event coordination as needed. You will contribute to the firm’s mission of ensuring implementation of our clients’ aspirations: to create vital places, build more equitable and resilient communities, and improve people’s lives.

Duties will include:

  • Proactive management and coordination of senior leaders’ calendars, including preparing and updating weekly schedules, forecasting scheduling conflicts and working quickly to resolve them, and responding to last-minute meeting requests.
  • Manage travel planning and detailed itineraries, including booking flights and hotel arrangements, and handling last-minute or urgent travel requests.
  • Provide wide ranging administrative support to the senior leaders, including entering weekly time sheets, expense reporting and filing, and systems or technology support.
  • Proactively communicate and collaborate with key stakeholders, including the CEO, the Chief of Staff, the rest of the Executive Management Team, the administrative team, the firm Partners, Board Members, and others.
  • Manage/assist with special projects and event coordination as assigned by the senior leaders.

 

SKILLS REQUIRED

  • Experience working with executives in a fast-paced, dynamic professional environment.
  • Experience in managing complex calendar schedules and travel arrangements.
  • Ability to forecast and prioritize needs
  • Ability to handle matters proactively, expeditiously, and judiciously
  • Must-have ability to follow-through on tasks or projects, perform quality assurance/quality control (QA/QC), and advance them on behalf of the senior leaders
  • Have outstanding organizational and time management skills, including the ability to multitask.
  • Possess excellent written and verbal communication skills.
  • Strong computer skills (including MS Outlook, Word, PowerPoint, and Excel) are required.
  • Ability to handle confidential information with discretion.
  • Event coordination skills preferred

 

EXPERIENCE REQUIRED | 2-3 years of work experience supporting C-level executives or senior management. An Associates or Bachelor’s degree is preferred. Professional services firm (consulting) experience is preferred.

COMPENSATION | The salary range for this position is $65,000 – $75,000/year. This is a non-exempt position that qualifies for overtime. We offer competitive compensation packages, based on qualifications and experience.  We are an employee-owned company, meaning you will have the opportunity to benefit from the firm’s growth over time through participation in our Employee Stock Ownership Plan.
